Kehelland Community Interest Company

Kehelland Community Interest Company is committed to protecting your privacy. This document explains how we use any personal information we collect about you and how we protect that information.

Who are we?

Kehelland Community Interest Company is the data controller. This means it decides how your personal data is processed and for what purposes.

Your Personal Data

What is it and what do we collect?

Personal data is information that can identify you. This can include information such as your name, address, email address, telephone number and any other information you provide when contacting us or filling in forms and questionnaires – for example when asking about or registering for events, volunteering opportunities or making a donation.

If you contact us, we may keep a record of that correspondence or interaction.

Personal data created by your involvement with us

Your activities and involvement with us will result in personal data being created. This could include details of how you’ve helped us by volunteering, booking a space to hire in our venue or being involved with our campaigns and activities.

Information we generate

We conduct research and analysis on the information we hold, which can in turn generate personal data. For example, by analysing your interests and involvement with our work we may be able to build a profile which helps us decide which of our communications, events and services are likely to interest you.

Sensitive personal data

If we collect sensitive personal data from you at any time, we will do so with your consent, unless required for employment (including volunteering), for safeguarding vital interests of you or other people, for public interests or legal reasons.

Volunteers and employees

If you’re a volunteer or employee member (including unpaid Directors), we may collect extra information about you such as references, criminal records checks, details of emergency contacts and medical conditions.

This information will be retained for legal or contractual reasons, to protect us (including in the event of an insurance or legal claim) and for safeguarding purposes to protect your vital interests.

How do we process your personal data?

Kehelland Community Interest Company complies with its obligations under data protection laws by keeping personal data up to date, storing and destroying it securely, not collecting or retaining excessive amounts of data, protecting personal data from loss, misuse, unauthorised access and disclosure, and ensuring that appropriate technical measures are in place to protect personal data.

We use your personal data for the following purposes:

  • To take steps to enter into and fulfil contracts made with you

  • To enable us to provide a voluntary service for the benefit of the community

Sharing your personal data

We will not, under any circumstances, share or sell your personal data with any third party for their own marketing purposes.

How long do we keep your personal data?

Your personal data will not be kept longer than necessary for the purpose it was collected. This time period will vary depending on your involvement and engagement with Kehelland Community Interest Company.

You can unsubscribe from receiving information from us at any point. See the section below for further information on your rights.

We may keep your personal information if required to do so by law, to protect or defend ourselves in any legal claim, or to protect the vital interests of you or another person.

When we no longer need to keep your personal data, it will either be deleted completely or anonymised, for example by aggregation with other data so that it can be used in a non-identifiable way for statistical analysis and organisational planning.
